Getting started with Qaid.

Everything you need to go from a new account to a reconciled month. Each step links to the feature page with more detail. Stuck? Email us — a person replies.

1. Create your account and company

  1. 1Sign upGo to dashboard.myqaid.com/sign-up and create an account with your email and a password. No card is required.
  2. 2Create a companyEnter the company name, country and base currency. Qaid pre-fills the VAT rate and Zakat setting from the country (e.g. Saudi Arabia: 15% VAT, Zakat on; Kuwait: no VAT). You can change any of these later in Settings → Company details.
  3. 3Add your details for invoicesLogo, address, VAT registration number and bank details appear on invoices. Set them in Settings → Brand and Company details.
  4. 4Choose your languageSwitch the interface between English and Arabic from your profile; the app is fully right-to-left in Arabic.

2. Record your first transaction

Open the chat and type what happened, for example “paid 25 KWD for printing, cash”. Qaid replies with a draft: the accounts, amounts and a short explanation. Approve it and it posts to the ledger. If Qaid asks a question (which account? was VAT included?), answer in the chat. More: AI bookkeeper.

3. Upload receipts and bills

Drag a photo or PDF into the chat, or use the Documents area to upload several at once. Qaid extracts the details and creates drafts. The file stays attached to the posted transaction. Supported: PDF, JPG, PNG, HEIC, WebP, CSV, XLSX, up to 25 MB each. More: receipt scanning.

4. Use your inbox email address

Go to Settings → Inbox to find your company's address (yourcompany@inbox.myqaid.com). Forward receipts to it, or set up an auto-forward rule in Gmail/Outlook for vendors that email receipts. Emails become drafts for review. More: email inbox.

5. Import a bank statement

Download a CSV or Excel statement from your bank and upload it as a statement. Qaid matches rows to transactions you already recorded and drafts the rest; approve them individually or in bulk. Do this monthly to keep books reconciled. More: expense tracking.

6. Create and send an invoice

Type “invoice [customer] [amount] for [description]” or open Invoices → New. Issue it to post to receivables; share the PDF or public link; mark it paid when the money arrives. More: invoicing.

7. Read your reports and ask questions

Reports include the trial balance, profit and loss, balance sheet, cash flow, receivables/payables ageing, VAT summary and detail, Zakat estimate and income-tax provision. In chat, ask questions like “what did I spend on rent this year?” or generate a CFO review for the period. More: financial insights.

8. Optional: bring in history

  • Opening balances — enter account balances as of your start date.
  • Prior balance sheet or P&L — upload the document and map the lines.
  • Payroll — add employees and run monthly payroll with your country's rules.

Fixing mistakes

Approved the wrong draft? Open the transaction and choose Correct (creates a reversing entry and a corrected one) or Void. Voided transactions can be restored. All changes are recorded in the audit log.

Common questions

  • **Can I have more than one company?** Yes — create additional companies and switch between them.
  • **Is there a mobile app?** Qaid is a web app; it works in your phone's browser, including photo uploads.
  • **How do I export or delete my data?** Email hello@myqaid.com from your account address. See security.
  • **Does Qaid file my VAT or Zakat?** No. It gives you the reports; filing is done by you or your adviser with the authority.
