AI bookkeeper

An AI bookkeeper you talk to.

Describe what happened — “paid 45 KWD for printing”, “client transferred 1,500 USD” — and Qaid drafts the accounting entry, explains its choice of accounts, and waits for your approval.

In short

An AI bookkeeper is software that converts descriptions, receipts and statements into accounting entries using a language model, with a human approving what gets posted. Qaid does exactly this on top of a real double-entry ledger.

What the AI bookkeeper does

Qaid reads your message, works out whether it is income, an expense, a transfer, an asset purchase or something else, and proposes a journal entry against your chart of accounts. The draft shows the accounts, the amounts, any VAT, and — for foreign-currency amounts — the conversion into your base currency at the rate used.

  • Understands English and Arabic descriptions, including relative dates like “last Thursday”.
  • Matches vendors and customers you have used before, so repeat transactions land in the same accounts.
  • Asks a follow-up question when something is missing (for example, which account the money came from).
  • Explains *why* it chose an account, so you learn the structure of your books as you go.

You approve every entry

Nothing Qaid proposes reaches your ledger automatically. Each draft is approved, edited or rejected by you. Companies that want faster processing can enable AI Autopilot, which lets chat-drafted entries post without manual review; turning it on or off is recorded in your audit log.

Real double-entry underneath

An approved draft posts balanced journal lines to real accounts. That is what lets Qaid produce a trial balance, profit and loss, balance sheet and cash-flow statement from the same data — and what lets your accountant review it like any other set of books.

Examples you can type

  • “I paid 250 KWD office rent for August from the bank account.”
  • “Received 3,000 SAR from Al Noor Trading for invoice 12.”
  • “Bought a laptop for 1,200 USD on the company card.”
  • “دفعت ٣٠ د.ك مواصلات نقداً”

What it does not do

  • It does not post entries without your approval (unless you switch on AI Autopilot).
  • It does not connect to your bank — statements are imported as files.
  • It does not give tax advice or file returns.

Frequently asked questions

Qaid's drafts are proposals that you review before they post. Account choices are explained, repeat vendors are matched to the accounts you used before, and every approved entry is a balanced double-entry record. Accuracy ultimately rests on your approval — which is why Qaid never posts silently.

Qaid uses Anthropic's Claude models through the Anthropic API to interpret descriptions and documents. Your ledger itself lives in Qaid's own Postgres database; the model only sees the text or file needed to draft an entry.

Yes. Approved transactions can be corrected, voided or restored, and each change is written to the company audit log with who made it and when.
