In short
Invoice processing in Qaid means uploading a supplier invoice (PDF or image) and approving a drafted entry that records the expense or liability, the VAT, the vendor and the due date; the invoice file stays attached to the posted transaction.
What happens to an uploaded invoice
- Qaid extracts the supplier, invoice number, dates, currency, line amounts, VAT and total.
- It proposes the expense or asset account based on the description and your history with that supplier.
- Input VAT is recorded separately so it appears in your VAT summary report.
- Unpaid invoices can be recorded as payables and settled later; paid ones post directly against cash or bank.
Multi-currency invoices
An invoice in USD for a company that keeps its books in KWD is converted at the rate on the invoice date and posted in KWD, while the original amount and currency are kept on the transaction. Reports stay single-currency; the source document stays auditable.
Invoice processing vs invoicing
This page is about invoices you *receive*. For invoices you *send* to customers — with VAT, PDF export and share links — see invoicing.
Limits worth knowing
- Qaid does not pay invoices or connect to your bank.
- Approval workflows for teams are not available yet (each company currently has a single owner).
- Qaid is not a ZATCA-integrated e-invoicing platform; it records the invoices you receive.
